Subcontractor Management
The quality of subcontractors’ work directly impacts the functionality, safety and image of each property. That’s why, at First Facility, subcontractor supervision is not just an operational control – it’s a structured and systematic process through which we ensure a consistent level of service quality, contract compliance and value maximization for the owner.
Our approach involves detailed planning, active supervision and transparent communication – with the aim of ensuring that all works and services are performed professionally, on time and in accordance with agreed standards.
How do we manage subcontractors on behalf of the owner?
Subcontractor selection and contracting: We only work with verified providers, based on references, technical capabilities and compliance with legal norms. We prepare and negotiate contracts that clearly define obligations, deadlines, standards and legal guarantees.
Planning and coordination of activities: We align all subcontractor activities with the technical, safety and commercial requirements of the property. We coordinate the work schedule to minimize the impact on the daily operation of the building and tenants.
Quality and performance control: We regularly monitor the execution of all works on site – from technical maintenance and cleaning, to safety systems and fit-out works. We use internal checklists, photo documentation and tools to track performance in real time.
Management of contractual obligations and SLA standards: We monitor compliance with all contractual obligations and service level agreements (SLAs). In case of deviations, we initiate corrective measures, request rework of the works and, if necessary, apply contractual penalties.
Compliance with safety and legal regulations: We ensure that all subcontractors comply with regulations on occupational health and safety, environmental protection and technical standards. We monitor the validity of their documentation and training, with regular checks of compliance with applicable legislation.
Reporting and evaluation: We provide the owner with regular reports on subcontractor performance, cost analyses and recommendations for potential changes. At the end of each contract cycle, we carry out evaluations to retain only the best partners.
